Overview

The Westchester office of Kaufman Dolowich, recognized by U.S news in their list of “Best Companies to Work For – Law Firms”, is seeking an Office Manager, to join their highly collaborative group!

 

Responsibilities and Duties:

 

Office Operations & Administration:

  • Oversee daily office functions and supervise administrative staff.
  • Coordinate with IT to ensure timely set up of equipment and office space for new hires.
  • Manage office equipment, supply inventory, and facility maintenance.
  • Serve as primary liaison with vendors, service providers, and building management.
  • Support visiting attorneys and ensure workspace needs are met.
  • Maintain confidentiality while managing Equity Partner meeting materials and firm-sensitive matters.

 

Staff Supervision & Human Resources Support:

  • Lead, mentor, and evaluate office staff performance, including participating in annual reviews.
  • Monitor and manage workflow across support staff, adjusting assignments as needed.
  • Assist with recruiting efforts for attorneys and staff, including interview scheduling and follow-up.
  • Conduct orientation for new attorneys and staff and manage the onboarding process.
  • Review and approve staff semi-monthly timesheets and coordinate with HR for payroll.
  • Participate in hiring, training, mentoring, and, when necessary, termination of administrative personnel.
  • Promote a collaborative, professional office culture and foster employee development.

 

Legal and Billing Support:

  • Prepare and edit case intake forms for new matters.
  • Assist with billing procedures for private client matters and review all pre-bills for the office.
  • Support conflict check processes for new matters.
  • Renew attorney memberships (state/local bar registrations, CLEs, networking groups, etc.).
  • Provide backup support for administrative tasks, including document production and deadline management.

 

 

Events and Additional Support:

  • Assist in planning and executing office and firm-wide events.
  • Perform additional responsibilities as needed to support the firm’s attorneys and overall operations.

Qualifications

  • Proficient in Microsoft Office Programs.
  • Minimum of 4 years’ experience working in a law firm.
  • Must be able to provide backup legal administrative support when needed. 
  • Previous management experience preferred.
  • Must have positive attitude.
  • Strong written and verbal communication skills.
  • Ability to integrate into a fast-paced environment.
  • Highly organized and detail oriented.
  • Ability to multitask and triage assignments with ease.

Target Hiring Range: $80,000 - $95,000

Actual compensation will be determined based on market location, as well as the candidate’s experience, skills, and job-related qualifications.
