The Calendar Clerk / Legal Assistant plays a critical role in supporting the firm’s litigation practice by maintaining accurate case calendars, tracking all court deadlines, and ensuring compliance with procedural rules. This position requires a highly organized individual with strong knowledge of litigation processes and excellent communication skills to coordinate with attorneys and staff across all stages of a case.
Key Responsibilities:
- Maintain and manage the litigation calendar for all active cases, including court appearances, motion schedules, discovery deadlines, depositions, hearings, and trial dates.
- Review and docket all incoming court notices, rulings, and correspondence to ensure accurate entry of deadlines under applicable state and federal rules.
- Calculate time-sensitive deadlines and verify compliance with local, state, and federal court procedures.
- Coordinate with attorneys and paralegals to avoid scheduling conflicts and ensure timely filings.
- Prepare and distribute daily and weekly calendar reports and reminders to attorneys and legal teams.
- Assist in preparing and filing pleadings, motions, and discovery materials via electronic filing systems (state and federal).
- Maintain organized case records and documentation in the firm’s case management and document management systems.
- Communicate with court personnel and opposing counsel to confirm hearing dates and resolve scheduling issues.
- Provide administrative and litigation support as needed, including document formatting, correspondence, and file management.
- Monitor ongoing case activity to ensure prompt updates to the calendar and team notifications.
Qualifications:
- Minimum of 2–3 years of litigation experience in a law firm environment (docketing or calendaring experience preferred).
- Strong understanding of litigation procedures, filing requirements, and applicable court rules.
- Proficiency with legal calendaring and case management software.
- Exceptional organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and meet strict deadlines in a fast-paced setting.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and document management systems.
- Ability to maintain confidentiality and professionalism at all times.
Preferred:
- Experience supporting attorneys in both state and federal courts.
- Knowledge of multiple jurisdictions and corresponding procedural rules.
- Prior experience in a mid-size or large litigation firm environment.
Target Hiring Range: $60,000 - $75,000
